What Counts as a Lead
Last Updated: October 19, 2026
Plans are based on the number of leads you receive, so you should know exactly what counts. This page is the rule we apply to every account.
1. A Lead, in One Sentence
A lead is a visitor who uses a calculator embedded on your registered website and then submits the form under it with a working email address, so their details and results reach you.
Using the calculator without submitting the form is never a lead. Neither is downloading the results as a PDF without sending them to you.
2. One Person, Once a Month
- Each email address counts once per calendar month on your account, no matter how many times that person submits or how many of your calculators they use.
- Later submissions from the same email that month still reach you in full. They are marked as free repeats and do not count.
- The count starts again on the 1st of each month.
3. What We Never Count
These are blocked or rejected before they are saved, so they never reach your dashboard or your total:
- Automated bot submissions caught by our spam checks.
- Email addresses that are badly formatted, from a known throwaway inbox service, or on a domain that cannot receive email.
- Repeated rapid submissions from the same person or connection.
- Submissions from a website that is not registered on your account.
4. If a Lead Isn't Real
Spam checks catch most junk, not all of it. If a lead is fake, spam, or your own test, open it in your Leads dashboard and choose Report as invalid lead with a short reason.
- You can report a lead within 30 days of receiving it.
- We review every report by hand. If we agree, the lead is removed from your count and the dashboard shows it as not billed.
- A real person who simply wasn't a good fit, or didn't answer when you followed up, still counts. The charge is for the contact, not the outcome.
- Every charge and every reversal is kept in a permanent record, so any question about a past month can be checked.
5. Delivery
Every lead is saved to your dashboard the moment it is submitted, and that copy is always there. We also email it to you and, if connected, send it to your webhook or HubSpot. If one of those fails, we retry automatically over the next several hours, and you can resend any lead yourself from the dashboard. A temporary delivery problem doesn't remove a lead from your count, because it is still in your dashboard. If a lead never reached you because of a fault on our side, tell us and we will remove it.
6. Consent
The form tells the visitor that their details and results will be shared with your business and that you may contact them. Each lead stores the exact wording they saw and when they submitted, which you can see on the lead. Following up within the law is still your responsibility; see Data Handling.
7. Your Monthly Limit
Your plan includes a set number of leads per month. Once you reach it, the form on your site politely stops accepting new submissions until the next month starts, and visitors are asked to contact you directly. Free repeats never use up your limit. Your dashboard shows how many you've used this month.
8. Questions
If a number on your account looks wrong, email robin@wearecalculator.com and we will go through the record with you. If these rules change, we will update this page and tell existing customers before the change takes effect.
